How far in advance should you send appointment reminders?
Send one reminder about 24 hours before the appointment and a second about 2 hours before. For appointments booked weeks ahead, add one a week before. Send them during normal waking hours in the client’s time zone, and stop once the client confirms.
A simple reminder schedule
One week before
For appointments booked far ahead (cleanings, recalls, long salon services). Clients can rearrange their week, and you can refill the slot.
Optional. Most useful when appointments are booked more than a couple of weeks out.
About 24 hours before
The main reminder. Enough notice to reschedule, close enough that the appointment is on their mind.

Catches people who forgot or are running late. Too late to refill the slot, so it’s a nudge, not a planning tool.

Use the client's time zone
A reminder that goes out at 9 AM Eastern reaches a client in California at 6 AM. Set reminders by the time zone of your business (and your clients), and use quiet hours so texts that would land at night wait until morning.
Stop once they confirm
Clients who already replied C don't need another text. Skipping the second reminder for them keeps your texts welcome, and saves messages on your plan.
Make every reminder easy to answer
Timing only matters if the client can act on the text. Ask for a one-letter reply, include your business name, and end with opt-out wording. See our reminder text templates.

Common questions
What time of day should reminders go out?
During normal waking hours in the client’s time zone, roughly 8 AM to 9 PM. For an early-morning appointment, the 24-hour reminder lands the morning before, which is fine; avoid late-night texts.
Is one reminder enough?
One reminder a day ahead does most of the work. A second reminder a few hours before helps with clients who forgot, and you can skip it for anyone who has already confirmed.
What about appointments booked the same day?
If the appointment is less than a day away when it’s booked, send only the short reminder a couple of hours before.
